There are times when many Work Events need to be routed to Service Providers in bulk. For example, when a large project is loaded into ServiceDemand via a Bulk Upload Template, the entire project may be mass routed based on the data specified in the upload and the creation of Service Provider Teams by the Work Event Routing users.
These steps must be accomplished for Bulk Routing:
- Create/Assign Service Provider Teams
- From the navigation menu, select Customers >> [Customer Name] >> Projects >> [Project Name] >> Service Provider Teams.
- If the Project Bulk Upload spreadsheet specified SP Team names [see sp team in Bulk Create Multiple Work Events], they are listed in this page. If not skip to paragraph (c.).
- Click on a Team name and then Edit Team to add Service Providers to the team according to instruction from the Project Manager included in the Team Details section (if provided) or from other documentation provided by the Project Manager.
- Select the Team Lead
- (Optional) Select the Team lead role
- (Optional) Select the Team lead skillset
- Select additional team members by using the +Add More Service Providers button
- (Optional) Select a Role and Skillset for the additional team members
- Click Save
- Repeat steps (i.1) through (i.7) for all Project SP Teams
- Proceed to step 2.
- Click on a Team name and then Edit Team to add Service Providers to the team according to instruction from the Project Manager included in the Team Details section (if provided) or from other documentation provided by the Project Manager.
- If the Project Bulk Upload did not specific SP Team names, create them now by selecting Create a New Team
- Enter the SP Team Name
- Select the Team Lead
- (Optional) Select the Team lead role
- (Optional) Select the Team lead skillset
- Select additional team members by using the +Add More Service Providers button
- (Optional) Select a Role and Skillset for the additional team members
- Click Save
- Repeat steps (c.i) through (c.vii) for all Project SP Teams
- Bulk Route Project Work Events to Service Providers
- From the navigation menu, select My Team Work Events >> All >> Select Filters.
- In Bulk Upload Spreadsheet, select the name of the workbook used to bulk load the project work.
- In Requested Service Provider Team Name, select the first SP Team created for this Project. [see sp team in Bulk Create Multiple Work Events and/or para 1. above (Create/Assign Service Provider Teams)]
- Scroll down and click Apply. The list of Work Events is now filtered down to the specific Customer, Project, and Requested SP Team.
- The filtered list of Work Events should all be in Published status meaning the Project Team has promoted them from Draft status so they can be routed to Service Provider(s).
- Click the Select All checkbox.
- The first 20 listed are selected and you are presented with the option to select ALL of the matching Work Events.
- Click the Select all [XX] work events that apply for the selected filters link.
- It will now say [XX] work events selected.
- Go to Select Bulk Action
- If the Requested SP Team has more than one member
- Choose Select Action >> Assign Work Events to Service Provider Team
- Select a Service Provider Team from the drop down that appears just below. Format is [Customer] – [Project] – [Team].
- If the Requested SP Team has ONLY one member
- Choose Select Action >> Assign/Re-assign Work Events to Service Provider.
- Select a Service Provider from the drop down that appears just below. Typing any part of their name will search for a match.
- If the Requested SP Team has more than one member
- Click Apply and you will see a notice that the bulk processing is in progress and that you will receive a system generated email shortly detailing the success or failure of your Bulk Routing.
- The filtered list of Work Events should all be in Published status meaning the Project Team has promoted them from Draft status so they can be routed to Service Provider(s).
- Repeat steps 2.a through 2.d as needed to Route the Project to all Requested SP Teams.
